This role will provide administrative, project coordination, and PMO support to a regional team, ensuring projects remain on track and stakeholders are aligned across multiple workstreams.</p><p><br/></p><p>The successful candidate will work closely with the Manager and Hub team, supporting project delivery through effective coordination, reporting, meeting management, and KPI tracking activities. This is an excellent opportunity for an organised and proactive professional who enjoys working in a fast-paced, collaborative environment.</p><p><br/></p><p>The role is primarily remote; however, candidates based within reasonable proximity to Zuchwil or Zurich are preferred to facilitate occasional in-person meetings and team collaboration when required.</p><p><br/></p><p>Key Responsibilities</p><ul><li>Provide administrative support to the Manager, including meeting scheduling, agenda preparation, minute taking, and follow-up actions.</li><li>Coordinate project activities and support the delivery of key initiatives across the Hub team.</li><li>Create, maintain, and update project dashboards and KPI tracking tools.</li><li>Prepare PMO reports, project updates, progress tracking reports, and stakeholder read-outs.</li><li>Support project governance activities by monitoring milestones, actions, risks, and dependencies.</li><li>Assist the Manager with delegation and coordination of activities across the team.</li><li>Work closely with Hub team members to ensure project timelines and deliverables remain on track.</li><li>Coordinate inputs and updates from multiple stakeholders to support project reporting and decision-making.</li><li>Maintain accurate project documentation and support continuous improvement of project management processes.</li><li>Provide general administrative and operational support as required.</li></ul><p><br/></p><p>Required Qualifications & Experience</p><ul><li>Previous experience in Project Coordination, PMO Support, Project Administration, Operations Support, or a similar role.</li><li>Strong organisational skills with the ability to manage multiple priorities and deadlines.</li><li>Experience preparing reports, dashboards, KPI tracking tools, or project documentation.</li><li>Excellent communication and stakeholder coordination skills.</li><li>Strong proficiency in Microsoft Office applications, particularly Excel, PowerPoint, and Teams.</li><li>Ability to work independently in a remote environment while collaborating effectively with distributed teams.</li><li>Professional working proficiency in English.</li></ul><p><br/></p><p>Preferred Experience</p><ul><li>Experience supporting projects within healthcare, life sciences, pharmaceuticals, medical devices, or other regulated industries.</li><li>Previous exposure to Project Management Office (PMO) methodologies and reporting processes.</li><li>Experience working within a Functional Service Provider (FSP), consultancy, or outsourced services model.</li><li>Familiarity with project management and collaboration tools such as Microsoft Project, Smartsheet, Jira, Asana, or similar platforms.</li><li>Swiss-German language skills.</li></ul><p><br/></p><p>Working Arrangement</p><ul><li>Primarily remote role with a flexible working arrangement.</li><li>Occasional in-person meetings may be required to support collaboration and project activities.</li><li>Preference for candidates based within reasonable travelling distance of Zuchwil or Zurich.</li><li>Meetings may take place at the Zuchwil office or at an agreed location in the Zurich area when required.</li></ul><p><br/></p><p>What's on Offer</p><ul><li>Immediate start opportunity.</li><li>12-month fixed-term contract with strong likelihood of extension.</li><li>Opportunity to work within a globally recognised healthcare environment.</li><li>Exposure to regional and cross-functional project initiatives.</li><li>Flexible remote working arrangement.</li><li>Collaborative and supportive team environment within an established FSP model.</li></ul><p></p> </div>
